What you’ll be doing: 

As Senior RFP Specialist, you will act as project manager, overseeing the development of responses to Requests for Proposals, Requests for Information, and general proposal documents. You will formulate response drafts, ensuring a comprehensive match to the external customer and internal business requirements.

  • Completes RFP responses for a wide range of product categories, including office products, facility supplies, furniture, technology, print services and more. 
  • Responsible for creating accurate, well-written, and properly formatted RFP responses through research, writing, proofreading, editing and formatting. 
  • Ensures all customer requirements are met, and that RFP response complies with all internal guidelines.
  • Coordinates RFP activities and communications, such as conference calls, meeting recaps, project plans, item assignment, executive signatures, bid bond, follow-up and follow-through.
  • Coordinates with various colleagues, executives and subject matter experts to obtain information needed to respond to RFPs/customer requests (e.g. Legal, sales, merchandising, marketing, pricing, IT, etc.)
  • Participates in quality check processes and peer reviews of all work product.
  • Ensures final response package is appropriately formatted and submitted to customer on time. 
  • Participates in the printing, binding and shipping of RFP responses, as applicable.
  • Assists in developing/updating RFP content library.
  • Participates in team meetings for coordination of workflow, work review, sharing of information and best practices.
  • Senior Specialists participates in and leads all new hire training activities, as assigned. 

What you bring to the table:

  • You are detail-oriented and have excellent reading comprehension.
  • You are adaptable, flexible to changing projects and able to work well under minimal supervision. 
  • You thrive under pressure, always meeting tight customer deadlines and able to manage multiple projects at a time. 
  • You have strong interpersonal skills, business acumen and work well with strong personalities.
  • Excellent communication skills.
  • Excellent writing skills with which to clearly explain concepts in professional documents, using easy-to-understand English; must have strong command of punctuation and grammar.
  • Experience with RFP response software.

What’s needed - basic qualifications

  • High School Degree or GED
  • 4 to 6 years of experience with the following: researching and writing responses to RFPs, sales support or marketing, or an equivalent combination of education, training and experience.
  • Advanced computer skills: Must have advanced skills in the entire MS Office Suite including Word, Excel, PowerPoint and Outlook; Ability to learn new software quickly.

What’s needed- preferred qualifications

  • Bachelor’s Degree in English, Marketing, Legal or related field of study OR an equivalent combination of education, training and experience. 
  • Project management skills: Demonstrated ability to keep multiple projects on track through proactive communication, prioritization, problem solving, time/task management, and organization, etc.
  • Understanding of Office Supplies and related category markets.
