What you will be doing:

Staples Technology Solutions (STS) is the direct B2B IT Sales division of Staples Contract & Commercial.  Under general supervision, an RFP Specialist helps manage the RFP response development process for STS’ responses to Requests for Quote, and Request for Proposals and other formal proposal documents. An RFP Specialist supports and boosts sales success with active management of challenging RFP responses. They collaborate with team members from various departments to gather information and ensure a compelling presentation of the company’s offerings. 

  • Develops compelling and well-formatted RFP responses through research, writing, proofreading, editing, and formatting. 
  • Ensures customer requirements are met, and that RFP response comply with all Staples guidelines
  • Ensures the very best final response package is created and submitted on time for all RFPs
  • Coordinates RFP activities and communications, such as conference calls, meeting recaps, project plans, item assignment, executive signatures
  • Collaborates with colleagues, executives, and subject matter experts to gather information for responding to RFPs and customer inquiries. 
  • Participates in quality check processes and peer reviews of work product
  • Participates in the printing, binding and shipping of RFP responses when needed
  • Assists in developing/updating RFP content library and some special projects

What you bring to the table – Essential Skills: 

  • Project management: ability to keep projects on track through proactive communication, prioritization, problem solving, time/task management, ability to manage multiple projects, organization, etc.
  • Advanced computer skills: Must have advanced skills in the entire MS Office Suite including Word, Excel, PowerPoint and Outlook; Ability to learn and leverage Microsoft Copilot, Teams and SharePoint
  • Excellent writing skills with which to clearly explain concepts in professional documents, using easy-to-understand English; must have strong command of punctuation and grammar
  • Detail-oriented with excellent reading comprehension - Ensuring compliance with all RFP requirements and catching any errors or inconsistencies in the proposal is vital
  • Ability to work under pressure and meet tight deadlines
  • Collaborative team player with strong interpersonal skills

Qualifications:

What’s needed – Basic Qualifications:

  • High School Degree or GED
  • 2 to 3 years of experience with the following: researching and writing responses to RFPs, sales support or marketing, or an equivalent combination of education, training and experience
  • Proficient with Microsoft Office Suite

What’s needed – Preferred Qualifications:

  • Bachelor’s Degree in English, Marketing, Communications, Legal or related field of study OR an equivalent combination of education, training and experience
  • 2+ years of progressively complex related experience, preferably in sales operations, RFP management, or a similar role
