Make an impact as a Senior Payroll Representative at Staples, where you’ll ensure associates are paid accurately and on time while driving process improvements in a collaborative HR team.

The Senior Payroll Representative is primarily responsible for assisting the Payroll Management Team with meeting overall objectives by monitoring the accuracy and efficiency of the payroll process and by demonstrating and encouraging the use of payroll best practices. 

What you will be doing:

  • Meet or exceed SLAs by triaging and processing ServiceNow tickets and work reports.

  • Execute daily offcycle closes and weekly oncycle payroll processing.

  • Review and load partner file feeds into HR Connect; create/submit bulk files for payment requests and time & attendance loads.

  • Own banking & payments operations: primary resource for PosPay and ACH transmissions; manage stop pay/reissue; assist Accounting with NetPay and Money Network reconciliations; initiate check print files.

  • Audit & balance payroll and Kronos inputs; perform QC audits on payments and time & attendance tickets.

  • Maintain backups and archive data to meet audit requirements.

  • Support internal and external audits and perform SOX control testing.

  • Research and resolve escalated payroll and time & attendance inquiries; communicate with HR Managers and business partners.

  • Accurately input reporting and special payment files (relocation, expatriate, SERP) and time & attendance reporting.

  • Review associate audit scores with team members to drive processing improvements.

  • Calculate overpayments per federal and state laws.

  • Pull reports and analyze pay and time & attendance data for business requests.

  • Monitor changes in payroll and timekeeping laws and notify payroll management.

  • Assist with department projects as assigned.

What’s needed: Basic Qualifications:

  • High School Diploma or GED

  • 5-8 years of experience in payroll processing and management

  • Advanced knowledge of payroll systems and software (e.g., ADP, Paycom, or similar)

  • Comprehensive understanding of federal, state, and local payroll laws and regulations

  • Ability to handle confidential information with discretion

Preferred Qualifications:

  • Certified Payroll Professional (CPP) certification

  • Previous experience with Oracle HCM or Kronos preferred

  • Experience in a large organization with complex payroll structures

  • Knowledge of multi-state payroll processing
