The RFP Manager is responsible for leading and overseeing the end-to-end process of all formal and informal technology bids. This role manages a team of two RFP Analysts, coordinating cross-functional collaboration with sales, pricing, legal, and technical teams. The RFP Manager ensures that all proposals are strategically aligned with business objectives, tailored to client requirements, and positioned to maximize win rates. This position is key in optimizing bid processes, driving continuous improvement, and supporting the company’s growth in the technology sector.

What you’ll be doing:

  • Lead the full lifecycle of formal and informal RFPs, RFIs, and RFQs for technology products and solutions, from opportunity assessment through submission and post-bid analysis.
  • Manage, mentor, and develop a team of two RFP Analysts, setting clear goals, providing feedback, and supporting professional growth.
  • Collaborate with sales, pricing, and legal teams to gather input, define win strategies, and ensure proposals are accurate, compelling, and compliant.
  • Oversee the creation, review, and approval of proposal content, ensuring consistency, quality, and alignment with client requirements and company capabilities.
  • Develop and maintain proposal templates, best practices, and knowledge libraries to drive efficiency and standardization across all bid responses.
  • Analyze bid outcomes and feedback to continuously refine processes, improve win rates, and enhance future proposal quality.
  • Track and report key metrics (e.g., bid volume, win/loss rates, turnaround times) to leadership, providing actionable insights for strategic decision-making.
  • Ensure all bid activities adhere to internal policies, legal requirements, and ethical standards.
  • Proactively identify and mitigate risks related to bid compliance, pricing, and contractual obligations.

  • Strong analytical, communication, and negotiation skills.
  • Proven ability to drive process improvement and innovation in RFP management.
  • Commitment to quality, compliance, and customer satisfaction.

What’s needed- Basic Qualifications:

  • 4+ years of experience in RFP management, proposal development, or bid coordination for technology solutions.
  • Demonstrated experience leading or mentoring a team.
  • Strong project management and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficiency with proposal management tools and Microsoft Office Suite and AI tools.

What’s needed- Preferred Qualifications:

  • Master’s degree or relevant certifications (e.g., APMP, PMP).
  • 6+ years of experience in RFP management, preferably in the technology sector.
  • Experience with pricing strategy, contract negotiation, and compliance in tech bids.
  • Familiarity with CRM and proposal automation platforms.
  • Track record of improving win rates and process efficiency through data-driven insights.
