ApplyThe Senior Administrative Assistant provides high-level administrative support, directly supporting several Vice Presidents in Merchandising. This role involves the development and use of templates for routine correspondence and documents, managing confidential information with the utmost discretion, and expertise of office productivity software and internal company systems. The position includes a variety of responsibilities from travel arrangements to event planning and requires the ability to independently handle complex tasks and lead support activities. This role is integral to the smooth operation of the department, requiring a professional who can seamlessly manage a variety of complex and confidential tasks. The Senior Administrative Assistant must be highly organized, detail-oriented, and capable of working in a dynamic, fast-paced environment.
- Administrative Support: Provide comprehensive support to senior leaders, ensuring efficient department operation.
- Document Handling: Develop and use templates for routine correspondence and documents, maintaining consistency and accuracy.
- Confidentiality Management: Handle sensitive information discreetly, maintaining confidentiality.
- Meeting and Event Coordination: Organize meetings, events, and travel arrangements.
- Expense Management: Track and report expenses.
- Communication and Screening: Manage incoming calls and correspondence, prioritize and direct appropriately.
- Schedule Management: Maintain and optimize the calendar of supported leaders, ensuring efficient time management.
- Professional Discretion: Handle confidential information sensitively and securely.
- Communication Skills: Excellent verbal and written communication, applying tact and discretion.
- Problem Solving: Strong analytical and problem-solving skills, troubleshoot complex issues independently.
- Adaptability and Creativity: Flexible, adaptable to changing demands, and able to provide creative solutions.
Basic Qualifications
- Minimum of 5 years' experience as an administrative assistant, with at least 3 years in senior/executive support.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and internal company systems.
- Ability to create and maintain digital templates for routine correspondence and documents.
- Proven discretion and integrity in handling confidential information.
- Proven organizational skills, able to manage multiple tasks and prioritize effectively.
- Familiarity with department terminology and operational procedures.
- Prior experience in scheduling and calendar management for senior executives.
- Experience in preparing detailed reports and presentations for senior management.
- Prior experience with administrative duties with minimal supervision.
