As part of Staples Business Advantage Canada, the Marketing Production Project Specialist position will be working with the Global Marketing Agency to deliver creative assets. Responsibilities include, but are not limited to, creating project schedules, updating work in progress reports, partnering with internal and external business partners, turning-in and proofing-out projects, ensuring design and brand standards are met. Internally, the Project Manager interfaces with various business and agency teams (Creative, Editing, Marketing, Merchandising, Front-end Development, etc.) daily, in order to assist the account team in moving projects forward. 

Position Summary

As part of Staples Business Advantage Canada, the Marketing Production Specialist position will be working with our Marketing department and our third party vendors to deliver our flyer program. Responsibilities include, but are not limited to, scheduling, partnering with internal and external business partners, turning-in and proofing-out flyers, ensuring design and brand standards are met. Internally, the Marketing Production Specialist interfaces with various business and agency teams (Production, Marketing, Merchandising, Sales, etc.) daily, in order to produce, distribute and communicate our flyer programs.   


Primary Responsibilities:

Project Management & Production
Develop thorough understanding of flyer process including various system applications
Work with the Senior Marketing Manager, Product and Field Support to plan, schedule and execute the production of all flyers
Consult with Marketing and Merchandising Management for product selections that meet flyer targets and business themes
Ensure communication is constant between all parties providing milestones and schedules to ensure timelines are met and content is accurate
Build pagination based on selections, themes, cost savings and ROI
Understanding content to have the ability to transfer appropriate product content to agency preferred platform for export
Proof flyer to ensure accuracy 
Ensure all flyers are posted to proper channels by effective dates
Work with the Senior Marketing Manager and agency to ensure creative adheres to Staples branding
Coordinate vendor supplied artwork with pre-press to ensure files are received on time and within specifications
Develop and maintain a work schedule aligning to project initiatives with Marketing with the ability to prioritize, schedule, resource and problem solve
Ensure flyers ship as scheduled and confirm warehouses have received and placed into inventory accordingly
Trouble shoot any flyer issues
Provide content to communicate with the organization on new flyers and the availability
Support catalogue production as required

Manage Partner Relationships – Internal & External 
Manage relations between third party vendors including translator, agency and printer
Manage relations between internal business partners
Follow up with stakeholders as necessary 
Coordinate with Digital Marketing team to ensure timely posts of all e-flyers   
Cultivate and build trust with stakeholders and be able to anticipate and rectify roadblocks to get production back on track
Ensure that project team/stakeholder understand the requirements and expectations of the flyer programs
Thoroughly learn and understand the business 
Build trusting relationships with Marketing partners to ensure that your opinion and recommendations are valued

Continuous Improvement Process 
Continuously review processes and make recommendations for improvement for cost savings and time efficiencies
Evaluate changes to flyer for efficiencies 
Schedule follow up with feedback meetings for continuous improvement



Advanced knowledge of flyer processes

Prior experience of a content management tool is preferred

Project management experience scheduling multiple flow streams 

Possess knowledge of print and file types

Some knowledge of web structure and functionality 

Knowledge of project management applications

Advanced proof reading skills

Experience with corporate branding

Ability to plan project timelines and identify key indicators/milestones

Track and report on status throughout 

Ability to work independently as well as in a team environment with patience, tact and diplomacy

Ability to juggle multiple projects is a must

Expert proficiency in the English language

Exceptional written and verbal communication skills

Accuracy and attention to detail is a must

Excellent organizational and interpersonal skills

Must possess excellent time-management skills with the ability to manage multiple and simultaneous deadlines 

Strong sense of urgency on all deliverables

Demonstrated desire for continual learning and passion for process improvement

Intermediate user of Microsoft Office

Knowledge and experience in Adobe InDesign, Photoshop, Illustrator and DreamWeaver/HTML is an asset

Flexibility of work hours are required to maintain project schedule during peak workload


Minimum 5 years of prior experience working in Marketing Production within a corporation, pre-media house or agency  


Advertising diploma or related field
